 Conference format

16th DSBS conference will be organized as a hybrid meetingcombining an onsite meeting for delegates who can travel (up to 350 persons), with full access online for those who cannot, while aiming to promote as much interactions as possible between the two types of delegates.

We are looking forward to having an onsite meeting in Brest. However, due to the global pandemic situation, we must ensure the safety of delegates traveling and meeting at the conference and also consider the engaged catering costs.

In consequence, if the meeting should switch to a full online meeting, delegates will be proposed to change their registration from onsite to online. In this case, the difference in the registration fee will be reimbursed.

For those that are currently not sure if they can travel, it is possible to register now either for onsite or online meeting. For those that register now for online, they may later ‘upgrade’ their registration to onsite (up to 25th July). For those that register now for onsite meeting, they may later ‘downgrade’ their attendance to online only and be reimbursed fully (up to 4th June include), less a 30 EUR administration fee (up to 20th June), and up to 25th July they can get 50% of the registration back, less the cost of online participation. Delegates that ‘downgrade’ after that date, may attend online but will not be reimbursed.

From 26th July to 13rd August, depending on the global pandemic situation, accommodation capacity in Brest and space availability, we will be considering the possibility of increasing the number of onsite participants . An additional feel of €50 will apply to these registrations.

Registration for onsite attendance in Brest includes:
  • Access to the conference
  • Icebreaking reception on 12th September 2021
  • Coffee breaks and lunches from 13rd to 17th September, 2021
  • Attendance at all conference onsite sessions as well as online live sessions
  • Attendance at all poster sessions (with refreshments) and exhibition areas
  • Access (until 30 September) to all recorded presentations and e-posters
  • Connection with all online and onsite delegates (chat or video) for Q&A or private meetings
  • Participation to online group chats
  • Attendance to social activities on 15th September, 2021 (additional fees will apply)
Registration for online attendance includes:
  • Access (until 30th September) to all presentations and e-posters recorded at the conference
  • Upload of your e-presentation or e-poster on the website
  • Access to live streamed sessions from the Oceanopolis Centre
  • Online/remote presentation of your talk in one of the streamed sessions, if selected by the convener
  • Access to online live sessions
  • Connection with all online and onsite delegates (chat or video) for Q&A or private meetings
  • Participation in online group chats
  • Social online events for remote participants of different time zones
Conference Dinner

A conference dinner is planned, if the context allows it, on Wednesday 15th September in the evening at the Ateliers des Capucins in Brest. We would be very happy to welcome all delegates attending onsite in Brest (a 90€ fee will be asked at the registration).

Other information

Travel and accommodations remain at your charge.

Places being limited, the scientific committee of DSBS reserves the right to accept or refuse a registration.

Deep-Sea Biology Society Member / Non-Member rates

If you are not already a member, you should select the non-member rate. Registering as non-members will automatically enrol you as a member of DSBS for 1 year, unless you wish to opt-out.

Student rates

A reduced registration fee is offered to bachelor/master/PhD students as detailed in the table above.

Grant Program

The Deep-Sea Biology Society allows two types of grants towards in-person and online attendance:

  • Travel Awards:  Please submit your application for in-person attendance  here (APPLICATIONS NOW CLOSED) and for online attendance here (There is no deadline, we will maintin this funding stream open until all funds are used up.)
  • Best Oral and Poster Presentations for Students and Early-Career Researchers (APPLICATIONS NOW CLOSED)
  • Online-Only Attendance (Non-Presenting) Award (APPLICATIONS NOW CLOSED). The Society has additional resources to cover the online-only attendance fees for anyone that would just like to attend online (not presenting). If successful, and funds are available, the Society will arrange your registration directly with the symposium host, IFREMER, France. There is no deadline, we will maintain this funding stream open until all funds are used up.

 Letter of Invitation to Attend the Conference

A letter of invitation is issued solely for the purpose of assisting participants with visa applications and/or to obtain funding for their attendance at the conference. If you require a letter of invitation, please register and pay for the conference. Following your payment, you will be able to access your invitation letter. If a paper and hand-signed version is required, mail costs will need to be paid beforehand.

 Terms and Conditions: Changes to Registration, Cancellation, Payment Type, Liability

Changes to Registration

The early registration deadline will be: 1st June 2021.

Until 4th June 2021, it will be possible to change registration from online to onsite or vice-versa without any handling fee.

  • If changing from online to onsite registration, the difference in the registration fee will be due.
  • If changing from onsite to online registration, the difference in the registration fee will be refunded.

From 5th June to 20 June 2021:

  • If changing from online to onsite registration, the difference in the registration fee will be due.
  • If changing from onsite to online registration, the difference in the registration fee will be refunded, minus a 30€ processing fee.

From 21st June 2021 to 25th July:

  • If changing from online to onsite registration, the difference in the registration fee will be due.
  • If changing from onsite to online registration, a refund of 50% of the expenses incurred minus the price of the online participation will be issued.

From 26th July 2021: there will be no refund for changes requests.

Cancellation Policy

Written requests for cancellation must be sent to aurelie.nicolas@brestaim.fr.

For cancellations received:

  • Before 4th June 2021, it will be possible to cancel registration without any handling fee.
  • From 5th June to 20th June 2021, it will be possible to cancel registration with a 30€ processing fee.
  • From 21st June to 25th July 2021, a refund of 50% of the expenses minus the price of online participation will be issued.
  • From 26th July 2021: there will be no refund for cancellation requests.

Payment Type

  • Registration at the helpdesk onsite in Brest: credit card only
  • All other items (registration via the website, event bookings etc.): credit card or bank transfer.
    Note for bank transfers: the payment should be received by the appropriate deadline (i.e. by 4th June for the early registration deadline), and bank charges are the responsibility of the payer and should be paid in addition to the registration/event booking fees.

Liability

To protect the health of our delegates attending the conference in person in Brest, the organizer will take all necessary safety measures and procedures. However, it is the responsibility of individual delegates to have their own medical coverage and liability insurance. The organizer assumes no responsibility for accident, sickness, losses, damage, delays, or any modifications to the program arising from unforeseeable circumstances. It accepts no responsibility for travel or accommodation arrangements.

The participant acknowledges that he/she has no right to initiate legal claims against the deep Sea Biology Society, Ifremer, and Océanopolis centre should the conference be modified or cancelled due to political or economic decisions or events, or anything attributable to force majeure.
